First 5 minutes: capacity and trend
Record total capacity, current free space, and the change since last month. The goal is not a magic number but an unusual rate of growth. A menu-bar trend or quick scan gives you a baseline.
If tens of gigabytes disappeared, recall new games, photo imports, video proxies, or developer-tool upgrades. Matching the change to an event makes diagnosis much faster.
- Review Trash for anything that still needs recovery
- Check large Downloads from the last 30 days
- Confirm the latest Time Machine backup succeeded
Next 5 minutes: high-growth locations
Pick two or three areas based on your work. Developers can check DerivedData, simulators, and dependencies; media users can inspect libraries, proxies, and exports; everyone can review chat attachments, photos, and offline downloads.

Final 5 minutes: reversible organization
Remove confirmed installers and duplicate exports, archive completed projects to protected storage, and evict local downloads that are safely in the cloud. Move items to Trash first and empty it at the next review.
Check whether upcoming system and app updates need headroom. Making room before an update avoids discovering the shortage halfway through a download.
Do a quarterly deeper review
Every three months, inspect unused apps, old device backups, virtual machines, and archived projects. Test that a backup restores instead of trusting only a success badge.
If free space drops quickly after every cleanup, track which large directory changes and find its producer. Effective maintenance limits the source instead of repeatedly deleting its output.
